PRIMARY IMPACT:

Provides standard administrative, technical, or production services or information that support others, and/or organizes data and information that is used and analyzed by others.

DUTIES:*

1. Log and enter journal vouchers through CUFS; interpret/adjust for error messages; contact preparer for problem resolution.

2. Log and enter into CUFS the intra-institutional vouchers from various service departments; handle error messages according to established practices.

3. Log and enter budget revisions for various departments.

4. Set up and code accounting distribution screens in HRS to distribute payroll to appropriate grant accounts; interpret errors and assist in resolving problems.

5. Organize and distribute monthly budget reports.

6. Keep SIS information updated concerning Continuing Education course information.

7. Enter cleared checks through CUFS.

8. Receive monthly microfiche copies; verify correct number of copies; reconcile to vendor’s statement; generate payment request to pay vendor; sort microfiche and distribute to appropriate personnel.

9. Validate all monthly bank statements; locate checks that have cleared the bank.

10. Answer general inquiries on fund balances, budget problems, obsolete account numbers, crediting accounts, mailroom chargebacks, and filling out forms.

11. Keep administrative policy/procedure manuals up to date with revisions.

KNOWLEDGE/SKILLS/ABILITIES:

Good knowledge of filing, alphabetizing, and basic arithmetic.

Skills in data entry, 10-key by touch, and 40 wpm typing.

Ability to operate a CRT terminal, copier, and microfilmer; communicate effectively (oral/written); understand detailed instructions; follow procedure; and lift 10-15 lbs.

JOB EMPOWERMENT

The employee carries out instructions within an existing work routine.  There is some leeway for changing the order of assigned tasks.  However, prior approval is required before changing the nature of the work performed or before dealing with unassigned tasks.

PROBLEM ANALYSIS

The employee typically has to deal with problems or situations similar to ones previously encountered and make choices from a limited set of alternatives.  However, after awhile, the answers tend to follow a pattern.

MINIMUM AND PREFERRED EDUCATION

Minimum: A high school diploma or equivalent (G.E.D.).

Preferred: An Associate's degree (two-year program or two to three years of college) or equivalent formal training.

Specifically, the position highly desires coursework in keyboarding and accounting.
 
 
 

MINIMUM AND PREFERRED EXPERIENCE

Minimum: One to two years.

Preferred: Three to four years.

Specifically, the position requires two years of data entry experience.  Three or more years of data entry experience and/or experience in basic accounting is preferred.
