Job Title   : ACCOUNTS PAYABLE CLERK (1011)

PRIMARY IMPACT:

Provides standard administrative, technical, or production services or information that support others, and/or organizes data and information that is used and analyzed by others.

DUTIES:*

1. Process invoices for payment to vendors to include checking invoices for accuracy, identifying and resolving problems, and entering data into computer.

2. Answer phones and assist callers with questions/problems related to A/P.  Assist visitors with same.

3. Maintain A/P files to include new file set-up and preparing files to be microfilmed.

4. Match checks with payment vouchers and invoices; mail checks to vendors.

5. Review vendors' monthly statements; check for accuracy; ensure all invoices/credits have been received.

6. Take inventory of checks for various accounts at end of month.  Store and retrieve checks in a secure manner.

7. Enter data and type manual checks as needed.

8. Assist with student financial aid check runs as needed.

9. Work on special projects as requested by manager.

KNOWLEDGE/SKILLS/ABILITIES:

Knowledge of alphabetic filing and basic debit/credit accounting.

Good computer, 10-key, and oral communication skills.  Must be attentive to details.
 
 

Must be able to operate standard office equipment to include calculators, computers, shredders, fax machines, telephones, and check printers/signers/burstersShould be able to lift/carry boxes weighing approximately 25 pounds.

PROBLEM ANALYSIS

MINIMUM AND PREFERRED EDUCATION

Minimum: A high school diploma or equivalent (G.E.D.).

Preferred: An Associate's degree (two-year program or two to three years of college) or equivalent formal training.

Some accounting coursework is highly desirable.

MINIMUM AND PREFERRED EXPERIENCE

Minimum: One to two years.

Preferred: Three to four years.

Specifically, the position requires one year of accounting experience.  Experience in accounts payable is highly desirable.
