PRIMARY IMPACT:

Provides standard administrative, technical, or production services or information that support others, and/or organizes data and information that is used and analyzed by others.

DUTIES:*

1. Check daily District bank account balances; review NSF charges, previous day's work, and bank charges or credits.  Process bank mail.

2. Maintain tickler file for ACCD investment securities.

3. Prepare Morning Call Sheet by posting investment maturities or coupon payment due; follow through with cash receipt.

4. Prepare various Journal Voucher entries; submit Bursars' JVs to Treasurer.

5. Maintain liaison with Bursars, bank, students, staff, vendors, etc.; research/disseminate information requested.

6. Order office/department supplies.

7. Pay vendors for services and subscription renewals.

8. Submit insurance claims to District's liability carrier.

9. Perform Cashier duties when needed.

10. Process daily College bank deposits and cash journals.

11. Maintain record of receipts/disbursements of college petty cash funds.

12. Verify/receipt monies collected; perform data entry of receipts daily.

13. Train and supervise workstudy and temporary clerks.

14. Process accounts receivable:  review contracts, enter data, maintain records, and forward to accounts receivable department.

15. Distribute various checks to students and employees.

16. Reconcile bank deposit slips, charge card tuition payments, etc., with accounting reports.

17. Request change order from bank; maintain working fund for office.

18. Review travel/authorization forms for proper signatures for faculty/staff/student organization for petty cash withdrawals.

19. Set up cashiers, deposit pick-ups, and security for campus registrations.

KNOWLEDGE/SKILLS/ABILITIES:

Knowledge of principles of accounting, banking, cashiering, and general office practices.

Skills in typing, calculator, data entry, word processing, spreadsheets, CUFS, SIS/PLUS, EREQUEST, VMCMS, problem-solving, and oral/written communication.  Supervisory skills helpful.

Ability to handle various projects during numerous interruptions.

JOB EMPOWERMENT

PROBLEM ANALYSIS

The employee typically has to deal with issues or problems that often require assessment and reasoning before coming up with an approach or solution.  The search for solutions may be accomplished quickly, but usually requires assessment and analysis of various alternatives based on standards or approaches defined by management or the appropriate professional/technical discipline.

MINIMUM AND PREFERRED EDUCATION

Minimum: A high school diploma or equivalent (G.E.D.).

Preferred: An Associate's degree (two-year program or two to three years of college) or equivalent formal training.

Some accounting coursework is highly desirable.

MINIMUM AND PREFERRED EXPERIENCE

Minimum: Three to four years.

Preferred: Five to eight years.

Specifically, the position requires three years of accounting experience.  An Associate’s degree in a related area may be substituted for two years of experience.
