Job Title   : ACCOUNTS RECEIVABLE ASSISTANT, SENIOR (1154)

PRIMARY IMPACT:

Provides analytic/diagnostic services or uses highest level technical skills which noticeably affect work results.
Billing affects contact-hour reimbursement and, therefore, district monies.  Reconciliations affect financial statements and are audited.

DUTIES:*

1. Bill/invoice federal and non-federal agencies and work study; check for accuracy by verifying with reports and system; maintain communication with the agencies to resolve any problems related to the accounts.

2. Prepare journal vouchers; enter information into general ledger.

3. Order reports that are needed for billing or by the manager and/or administration; maintain proper records for backup.

4. Receive/record payments; age the accounts and maintain monthly aging report schedule.

5. Send Dun letters to accounts over 30 days delinquent; follow up on delinquent accounts with call or letter.

6. Maintain monthly reconciliation report.

7. Reconcile aging report to subsidiary and subsidiary to general ledger.

8. Analyze receivable accounts and revenue account 4311.

9. Identify/research/resolve any account problems/variances.

10. Set up/prepare agenda for any meetings sponsored by the section.

11. Attend meetings outside of the District with the manager.

12. Represent the manager at meetings he/she cannot attend.

13. Train/assist other unit staff.

14. In the manager's absence, record/process all checks received for the section as needed.

15. Update or set up sponsor identification accounts for each college by semester.

16. Review the monthly reports; report discrepancies to the manager; discuss problems and take whatever action is required to resolve them.

17. Assist with special projects as needed.

KNOWLEDGE/SKILLS/ABILITIES:

Strong knowledge of mainframe and PC applications (spreadsheets) and accounting principles/procedures to include billing/reconciliation/collections.

Skills in computers, 10-key by touch, interpersonal communication, and problem-solving.

Must be able to conduct research, persuade others, read/interpret/explain a wide variety of reports/contracts, and work with little supervision/act as lead staff member.

JOB EMPOWERMENT

The employee follows existing procedures to which he/she can make some changes to solve problems.  Progress or results of work is periodically checked and prior approval is required before changing standard work procedures.

Supervises part-time staff and acts as lead staff member for unit.

PROBLEM ANALYSIS

The employee typically has to deal with issues or problems that often require assessment and reasoning before coming up with an approach or solution.  The search for solutions may be accomplished quickly, but usually requires assessment and analysis of various alternatives based on standards or approaches defined by management or the appropriate professional/technical discipline.

MINIMUM AND PREFERRED EDUCATION

Minimum: A high school diploma or equivalent (G.E.D.).

Preferred: An Associate's degree (two-year program or two to three years of college) or equivalent formal training.

Accounting coursework is highly desirable.

MINIMUM AND PREFERRED EXPERIENCE

Minimum: Three to four years.

Preferred: Five to eight years.

Specifically, the position requires four years of accounting experience.  Experience in accounts receivable is highly desirable.  An Associate’s degree in a related area may be substituted for two years of experience.
