PURPOSE:

 

Developing programs and processes that provide a service to students and/or other internal College or District customers.

 

ORGANIZATIONAL IMPACT

 

(+)  Advisory Services or Work Leadership.  The employee provides direct services to customers or collaborates with other professionals by one or more of the following: - Personally assessing situations, obtaining necessary information, drawing conclusions and recommending and/or implementing courses of action in accord with normal practices and procedures. - Advising or training other professionals. - Helping organize the activities and output of fellow workers on a day-to-day basis as a working supervisor or work leader.

 

DUTIES:*

 

1.         Supervise the daily departmental operations (receipting, recording, and depositing of all funds received); ensure funds are properly deposited daily; assist Bursar in the management of the departmental activities; address and resolve routine office matters; ensure supply and equipment needs are adequate.

 

2.         Perform bank and account reconciliations to ensure policy and procedures are being followed, assets are safeguarded, and internal control are in place.

 

3.         Account for District Student Receivables (returned checks, delinquent installment accounts, returned WEBCheck credit card chargebacks, and other miscellaneous small balances) and ensure they are recorded and accounted for; set up procedures to reduce the amount and number of receivables in order to maximize revenue and reduce expenses.

 

4.         Issue/Replenish/Review the petty cash process; ensure charges and reimbursements are accurate, timely, and allowable within District policy.

 

5.         Manage the departmental cash working funds; set up procedures that verify and balance the daily funds; ensure cash is properly safeguarded.

 

6.         Schedule/Coordinate training and development of college work study and temporary employees.

KNOWLEDGE/SKILLS/ABILITIES:

 

Knowledge of accounting; personnel management/evaluation/motivation; planning; budgeting; general office practices; office computer programs such as word processing and spreadsheets.

 

Excellent verbal/written communication skills; organizational skills; highly developed interpersonal skills.

 

Abilities in cash management/internal controls and leadership.

MINIMUM AND PREFERRED EDUCATION

 

Minimum:         A Bachelor's degree.

 

Preferred:         A Bachelor's degree.

 

Specifically, the position requires a Bachelor’s degree in Accounting, Finance, or Business Administration.

 

MINIMUM AND PREFERRED EXPERIENCE

 

Minimum:         Three to four years.

 

Preferred:         Three to four years.

 

Specifically, the position requires three years of experience in accounting.  Cash handling, customer service, fund accounting, and supervisory experience preferred.
