PRIMARY IMPACT:

Provides analytic/diagnostic services or uses highest level technical skills which noticeably affect work results.

DUTIES:*

1. Gather expense data and process invoices/reports on a monthly and quarterly basis to grant agencies; may deposit checks and file receipts.

2. Set up budgets when grants are awarded to the colleges, including account numbers, balance sheet numbers, organization tables, grant description tables, and CUFS coding.

3. Advise/explain budget procedures to new grant managers; advise/inform managers as they plan for next year's budget.

4. Process budget revisions as required.

5. Send monthly closing memorandum/termination dates of grants as programs end; handle close-out process; send encumbrance reports to Deans, Accounts Payable, and Central Inventory; follow up on all encumbrances.

6. Give detailed grant-related information to inquirers, e.g., how to read expense reports; how much budget is needed to finish the fiscal year for employee compensation; conduct research as needed.

7. Process monthly report on status of grants; reports are generated in CUFS.

8. Verify that purchases comply with grant regulations; conduct research and resolve discrepancies as needed; charge institutional accounts if necessary.

KNOWLEDGE/SKILLS/ABILITIES:

General knowledge of accounting principles.

Typing, PC, CRT, Lotus, word processing, office equipment operation, oral/written communication, organizational, and excellent interpersonal skills.

Ability to concentrate on details with numerous interruptions and work with accuracy.

MINIMUM AND PREFERRED EDUCATION

Minimum: A high school diploma or equivalent (G.E.D.).

Preferred: An Associate's degree (two-year program or two to three years of college) or equivalent formal training.

Accounting coursework is highly desirable.
 

MINIMUM AND PREFERRED EXPERIENCE

Minimum: Three to four years.

Preferred: Five to eight years.

The position requires a minimum of four years of accounting experience.  Experience in working with grants in a public educational setting preferred.  An Associate’s degree in a related area may be substituted for two years of experience.
