PURPOSE:
Improving operational efficiencies through the implementation of operational improvements, or through the management of College or District resources.
ORGANIZATIONAL IMPACT
Advisory Services or Work Leadership. The employee provides direct services to customers or collaborates with other professionals by one or more of the following: - Personally assessing situations, obtaining necessary information, drawing conclusions and recommending and/or implementing courses of action in accord with normal practices and procedures. - Advising or training other professionals. - Helping organize the activities and output of fellow workers on a day-to-day basis as a working supervisor or work leader.
DUTIES:*
1. Provide leadership and expertise to Accounts Payable staff to ensure payments are timely and correct.
2. Review payment and check requests for correct accounting, proper signatures, supporting documentation, and any policy violations.
3. Review and reconcile all Accounts Payable, retainage accounts, and encumbrance reports; prepare monthly reports.
4. Prepare unclaimed check report.
5. Assist in writing policy regarding travel and agency accounts.
6. Prepare affidavits of forgery when necessary.
7. Research and prepare analysis of payments as requested by the Board or Vice Chancellor of Fiscal Affairs.
8. Prepare monthly analysis of administrator and Board member travel.
9. Prepare annual Forms 1099.

KNOWLEDGE/SKILLS/ABILITIES:
Knowledge of basic accounting principles; personal computers and various software; mainframe computer; and IRS regulations regarding 1099s.
Good oral and written communication skills; proven supervisory skills; and good organizational and time management skills.

Minimum: A Bachelor's degree.
Preferred: A Bachelor's degree.

Minimum: Three to four years.
Preferred: Five to eight years.
