1. What is the procedure if the employees
duties do not match the job description?
You should contact human resources if the duties have changed significantly.
You can either contact your campus human resources representative or the compensation
department. They can help guide you through the process. In most cases it is
not necessary to change a job description if seventy percent or more of the
job description remains the same.
If the changes are permanent and sufficient to warrant a reclassification you
should contact the compensation department to initiate the reclassification
process. Please note that the reclassification should be initiated after the
appraisal process is completed. If you need more details see the compensation

2. How will Human Resources track
the completed appraisals?
A database will be formed to track the completed appraisals. Through out the
process the chancellor will be kept abreast of the colleges and departments.
3. Are appraisal mandatory?
Yes, it is mandatory for a supervisor to complete an appraisal for all part-time
and full-time regular professional and classified employees.
4. How can I contact Human Resources?
We realize that some employees and supervisors may feel uncomfortable approaching
their managers with questions. In these instances there are several options
that they can use. The options are as follows:
A. Any employee can contact us by using the e-mail icon on the home page
of the appraisal site. Several employees in Human Resources have access to
this e-mail address. This would not allow you to contact a specific person
unless you identify them in the body of the e-mail.
B. If you would prefer to contact a specific person the e-mail address and
phone numbers can be found on the Human Resources website (http://www.accd.edu/ACCD/hr/hr.htm).
C. If an employee would like to send an anonymous suggestion to Human Resources,
the suggestion could be sent through the Pony.
5. What if my supervisor is not at
the same location?
Your supervisor should have an understanding of your job duties. They should
also be aware of your job performance through feedback and communication with
you. There are many instances, outside of the District, where a supervisor is
not in the same location as the employee.
6. I have opened
a document but I can not save it. What should I do if I want to save a document
to use later?
You will not be able to save the document while it is open unless you have made
changes to the document. If you have made changes to the document you can close
the web browser (Explorer) and your computer will prompt you to save the document.
If you have not changed the document (most documents are protected and can not
be changed) you will first need to go back to the original appraisal web page
and click on the document you want to save. As the document begins to open you
will receive a message asking if you want to open or save the document. At this
pont you should choose to save the document. Save the document to a location
on you hard drive that is familiar to you. After you have completed this process
open word and open the file you just saved. (It will be very important to remember
the file name and wherewhere you saved the file.)
7. When will
the appraisal period start?
The appraisal period will start on April 1, 2004. In this initial period the
supervisor will meet with the employee and they will set work performance standards
that the supervisor can use during the rating period (April 1st to October 1st).
The supervisor will complete the appraisal form in October at the end of the
ratings period. Appraisals are due to the Human Resources department by October
29, 2004.

Can a supervisor complete an appraisal for an employee outside of the rating
period?
An appraisal can be completed on an employee in some special circumstances
such as: major change in responsibilities, change of title, employee promotion/demotion
or emergence of performance issues.
