TIME LOGS FOR NONEXEMPT (CLASSIFIED) EMPLOYEES  

The Fair Labor Standards Act (FLSA) is a federal law which governs many aspects of employee pay including keeping records of employees work hours. Therefore, all classified, or nonexempt, employees must keep track of the hours they work each day. Unless otherwise approved, employees must use ACCD Form 571, Time Log for Non-Exempt Employees (Semi-Monthly Pay Period). Temporary employees use a similar form for monthly pay periods. Employees should not wait to complete their time logs at the end of a week but should note hours on a daily basis to insure accuracy.

INSTRUCTIONS

Logging hours:
Note the date, time(s) in and time(s) out on each line. Total the hours actually worked in the "Hours Worked" section. If leave was taken or it was a holiday, note the usually number or hours worked in the appropriate section. If any compensatory time was taken from accrued balance, indicate the number of hours used in "Comp Used" section. Total across the row to get the "Total."

Compensatory Time Earned:
We earn "comp time" at the rate of time-and-a-half. That means you get 1-1/2 hours of comp time for every hour you work over 40 hours in a workweek. Comp time is only earned after you actually work 40 hours, so don't count any leave taken, comp time used, or holidays in your actual hours worked.

To complete the "Total Compensatory Time Earned" section, Add up your actual hours worked during the workweek and subtract 40 then multiply by 1.5 to get the amount of comp time we owe you. You should indicate this on your semi-monthly leave report from H.R. also.

Example:
1) Hours actually worked = 43, 2) 43 - 40 = 3, 3) 3 X 1.5 = 4.5 hours of comp. time earned

Signatures/Recordkeeping:
Employees and supervisors must sign/date the time log. The department must maintain a time log file on all active employees for three (3) full years to comply with the FLSA. If an employee leaves the department, the time logs should be forwarded to H.R. for safekeeping until the three years expires.
